Team Assistant - Trading Floor
Location: Canary Wharf, London (E14)
Start Date: ASAP
Contract Length: 12 months initially
Working Hours: Monday to Friday, 8:00 AM - 5:30 PM (5 days in-office)

Overview

A prestigious global financial services firm is seeking an experienced Executive Assistant to support its high-performing Sales & Trading team based in London.

You will be part of a collaborative and professional assistant team and play a key role in keeping the division running smoothly.

Key ResponsibilitiesExecutive Support
  • Manage complex, ever-changing diaries with a high degree of autonomy and foresight

  • Coordinate internal/external meetings, video calls, conference calls, and catering needs

  • Serve as a professional gatekeeper, fielding calls, emails, and scheduling requests

  • Collate data packs and ensure stakeholders are well-prepared for meetings

  • Liaise with senior clients and internal teams globally, including New York, EMEA, and APAC

  • Manage sensitive information and maintain strict confidentiality

  • Support recruiting processes and other administrative projects

  • Handle ad hoc personal assistant requests when needed

  • Maintain and update the internal CRM system

Travel & Expenses
  • Book complex international travel (flights, visas, hotels, transfers) with full itinerary prep

  • Submit accurate and timely expense claims in line with firm policy

  • Support and organize team and client events, off-sites, and internal functions

Team Collaboration
  • Provide phone and diary coverage for absent colleagues (lunches, leave, sickness)

  • Contribute to a team-first culture and ensure up-to-date handover documentation for seamless support

Ideal Candidate ProfileExperience & Skills
  • Proven experience supporting senior executives, ideally within financial services or a global corporate setting

  • Strong prioritization and time management skills in a high-pressure environment

  • Ability to remain calm and resourceful under pressure and during last-minute changes

  • Confident, polished, and proactive approach to handling internal and external stakeholders

  • Highly organized and attentive to detail, with strong multitasking abilities

  • Strong communicator - clear, articulate, and diplomatic

  • Demonstrated ownership and accountability of responsibilities

  • Tech savvy - proficient with Microsoft Outlook, Word, Excel, PowerPoint

  • Previous experience using CRM tools and expense systems is advantageous

Soft Skills
  • Warm, approachable, and a strong team player

  • Maintains a high level of professionalism and discretion

  • Willingness to work overtime when needed

Training & Support
  • Full onboarding and training on systems and internal policies will be provided

  • You will be embedded in a collaborative assistant team with shared knowledge and support structures
