Responsibilities:

  • Manage and oversee the day-to-day operations of the accounts payable department, ensuring all activities are completed accurately and efficiently.
  • Transform existing processes by leveraging the latest technology to reduce time from invoicing through approval to payment, driving continuous improvement within the function.
  • Oversee external accounts payable functions while acting as the primary in-house contact for any queries related to accounts payable matters.
  • Review and reconcile accounts payable transactions regularly, maintaining accuracy and compliance with company policies and procedures at all times.
  • Perform daily, weekly, and monthly bank reconciliations to ensure financial records are up-to-date and discrepancies are promptly addressed.
  • Coordinate and execute scheduled payment runs on both weekly and ad hoc bases, guaranteeing timely payments to vendors and suppliers.
  • Monitor vendor accounts closely, managing communications to resolve inquiries or discrepancies quickly and effectively.
  • Prepare regular reports and analysis on accounts payable activities for management review, providing valuable insights into payment trends and key metrics.
  • Reconcile company credit cards and manage reimbursement of expenses in line with established guidelines.
  • Document business processes thoroughly while continuously seeking ways to improve efficiency, strengthen controls over transaction cycles, and support internal audits.

The Successful Candidate:

  • Proven experience managing an accounts payable function within a medium or large organisation where accuracy and compliance are paramount.
  • Experience using NetSuite is required.
  • Demonstrated ability to implement process improvements using technology solutions that streamline workflow and enhance productivity.
  • Strong interpersonal skills enabling effective collaboration with cross-functional teams including procurement, finance, and other departments.
  • Excellent analytical abilities for reviewing transactions, reconciling accounts, generating reports, and identifying trends or discrepancies.
  • Experience coordinating scheduled payment runs as well as handling ad hoc requests efficiently under tight deadlines.
  • Ability to build positive relationships with vendors by resolving queries or discrepancies promptly through considerate communication.
  • Familiarity with documenting business processes while continuously seeking ways to improve efficiency within transaction cycles.
  • Knowledge of relevant regulations governing accounts payable activities along with experience supporting internal or external audits.
  • Competence in reconciling company credit cards and managing expense reimbursements according to policy guidelines.
  • Commitment to maintaining strong internal controls that safeguard company assets throughout all accounts payable operations.
