What you’ll do:

We currently have a vacancy within our Asset department for a Work Delivery Co-Ordinator. Provide a comprehensive administration service to support the delivery of Facilities Management and to assist in all aspects of work that contributes to the smooth running of Facilities Management and to ensure adherence with policies and guidelines.

Key responsibilities include:

Work with the Facilities Manager to agree and coordinate work activities in line with the Asset Management System (AMS), Company policies, Railway Group Standards, and legislation.
Assist the Facilities Manager with delivery of Reactive Maintenance, Planned Preventative Maintenance (PPM) and Minor Emerging Works.
Create and manage strong working relationships with station staff, all teams across the business & 3rd party partners to provide the high-quality delivery of FM. This includes responding to queries and enquiries regarding FM matters.
Engage with contractors and the supply chain to ensure services are provided in line with agreed scopes, contractual obligations, pricing schedules and performance criteria Including regular meetings, management of action logs and non-conformities.
Monitor and report on service delivery in line with SLA’s, KPI’s, other performance criteria and trend analysis (e.g.: Reactive Heat Map).
Assist the Facilities Manager with management of the Direct Labour team including management of maintenance engineers’ calendars, assignment of tasks, programming works, updating records (e.g.: training, H&S, RAMS), management of materials, tools, equipment, PPE and transport.
Assist the Facilities Manager in proactively identifying service improvements to improve team performance.
Maintain necessary documentation of processes on reactive maintenance and PPM including key contact communications.
Manage quotations from contractors and raise instructions as appropriate, monitor works to completion.
Manage the PPM programme within the CAFM system.
Manage the PPM programme within the CAFM system.
Liaise with the helpdesk provider and supply chain to assist in the management of reactive maintenance issues to satisfactory completion.
Update the CAFM system as required, e.g.: Reactive, PPM, Works Instructions, Asset Register, Finance, etc.
To carry out site visits when instructed to by the Asset Team.
To assist with the administration of Site Access Permits.
To cover duties for the CAFM Administrator during absences.
To undertake any other administrative duties as the Asset Team and wider business may require from time to time.

What you’ll need:

Good general IT skills including MS Office.
Previous relevant experience in the administration of facilities management (Reactive and Planned maintenance).
Experience using CAFM software.
Experience of managing contractors and suppliers.
Exceptional communication ability, over the phone, by e-mail and face-to-face.
Good organisational and time management skills.
Strong attention to detail.
Ability to multitask and work at pace.
Ability to work independently and as part of a team.
Experience preparing official documents.
Good general IT skills including MS Office.
Able to build relationships at all levels.
Influencing and negotiation techniques.
