Job Description for Lodge Receptionist

Our client is seeking a dedicated and proactive individual to join our team of Lodge Receptionists. The ideal candidate will have previous experience in customer service roles, thrive in high-pressure environments, and be able to effectively manage emergencies or incidents as they arise. Responsibilities will include manning the reception desk, handling inquiries efficiently, monitoring security systems, and responding to emergencies such as fire alarms or accidents. The successful candidate will need to demonstrate flexibility, confidence, courtesy, a calm demeanour, and adaptability. Strong physical fitness and proficient English communication skills, both written and verbal, are essential for this role. The position requires availability to work a rotating shift schedule, which includes morning and evening shifts on alternate weeks, as well as some weekends. Additional hours or weekend work may be necessary from time to time.

Responsibilities:

Provide a professional reception and information service for college members and visitors, including the issuance of college room keys.

Monitor and respond to emergencies, such as fire alarm activations, and conduct weekly fire alarm tests promptly and calmly.

Respond to any first-aid emergencies as necessary.

Operate the telephone switchboard efficiently, transferring calls accurately and taking messages.

Sort incoming mail and handle parcel deliveries, as well as address general inquiries.

Coordinate seminar room bookings for Fellows during Term time.

Assist with the check-in process for Conference and B&B guests during non-term times, ensuring the return of room keys upon departure.

Manage security and front desk services at the College, including issuing appropriate passes to guests.

Lodge staff must be trained as qualified first aiders and may be subject to a Disclosure and Barring Service (DBS) check.

Document incidents in the Lodge message book or by email, and provide timely and accurate reports to the Lodge Manager or deputies.

Adhere to Lodge and College protocols, emergency procedures, and guidelines.

Be prepared to respond to emergencies by contacting appropriate services, informing the Duty Manager and/or Dean/Welfare Advisor, and assisting as required.

Properly issue keys and access cards to students, college members, contractors, guests, and delegates, while maintaining accurate records.

Notify the Lodge Manager promptly of any lost or damaged keys or cards.

Record any accidents or incidents reported accurately and report them to the Lodge Manager.

Undertake any reasonable tasks assigned by the Lodge management team, appropriate to the role.

Essential Skills and Competencies:

Must possess physical fitness to respond promptly to emergencies throughout the college premises, which may involve navigating multiple flights of stairs.

Previous experience in a customer-facing or service-oriented role is preferred.

Capable of confidently and courteously interacting with College members and visitors.

Strong communication skills in English (both verbal and written), including proficiency in telephone etiquette.

Demonstrates the ability to handle sensitive situations with tact and professionalism.

Maintains discretion and always upholds confidentiality.

Responds promptly and effectively to emergency situations.

Works well under pressure, meeting deadlines with a calm demeanour.

Basic computer skills required, including proficiency in email and database usage with training provided.

Willing to work morning, evening, and weekend shifts, with flexibility during peak periods.

Strong numerical skills and experience handling cash transactions.

Adheres to standard procedures and protocols consistently.

Demonstrates flexibility, adaptability, and a positive attitude towards change, new challenges, training, and self-development.

Reliable, trustworthy, and punctual with a commitment to excellent time management.

Desirable

Previous experience in an educational or institutional setting is preferred.

Must possess a first aid certification or be willing to obtain one.

Knowledge of Health and Safety regulations is desirable.

Familiarity with General Data Protection Regulations and their application in a reception/lodge environment.

Experience in a customer service role is also beneficial.

Compensation and Benefits

Salary: from c£24,000 to £25,479 per year DOE

Working Hours: 40 hours per week

The position is required to work any 5 out of 7 days per week.
From time to time a late finish may be required.

Annual Leave: 38 days per year (including Bank Holidays)
