Job Description

Our creative client based in Eastbourne is looking for an enthusiastic and outgoing HR administrator to join their fabulous team on a temporary basis until March 2024. 

The Role
To provide administration and data support ensuring an efficient, accurate, responsive service and referring more complex issues to appropriate team members
 
Administration

Take ownership for aspects of the designated administration processes of the People Department
Manage the administration of employee-related changes including maternity and variations to contracts working to agreed deadlines and service level agreements.
Work with the Managers to provide reports of key dates, including probation end dates, fixed-term contract end dates, and dates regarding maternity leave etc.
Acknowledge staff resignations and retirements ensuring the leaver’s process on the People System is completed. Highlight concerns to the People Business Partner and record exit interview data for management overview.
Assist in the implementation of the annual salary review including all administration involved
Maintaining and managing the Personnel files, both paper and electronic filing, ensuring they are up to date.
Working with the People Systems Co-ordinator and digital team, to ensure electronic personnel forms contain the relevant information, produce reports and suggesting changes as appropriate.
Managing the communal email inbox for the People team, actioning emails or referring to the relevant person as appropriate
Replying and responding to queries or referring them to other team members or departments as appropriate
Preparing reports and compiling/analysing data when requested
Running reports from the system when required and answering questions regarding the system.
Providing other administrative support to managers and the People team, as required including assisting with printing of correspondence and contracts.
Answer queries on various types of benefits such as Cycle to Work Scheme / Helping Hand Loan Scheme, receiving Long Service Awards, gifts on Marriage / Civil Partnership and New Baby.
Providing cover for the People & System Co-ordinator when needed, including administration and password resets
Answering queries in relation to the Employee and Manager Self-Service People/HR System. Acting as an Expert User
Inputting, updating and maintaining the information kept on the People/HR System
Managing the HR email inbox, actioning emails, or referring to the relevant person as appropriate. Highlighting complex queries to Systems Coordinator
Completion of weekly/monthly tasks to support the maintenance of the People System
Completion of annual tasks to ensure the system is maintained to function for the self-serve purpose.
Upload New Starters data files to HR system
LMS Uploads – upload of learning days from L & D team to the HR system so it shows as an absence for learning.
Promoting the Company’s aims and values and setting an example by own behaviour and adherence to those standards
Understanding the importance of confidentiality
Adherence to GDPR protocols
Supporting change in the business
Adherence to Company policies and systems
Performing any other duties as are within the scope, spirit and purpose of the job and the title of the position, as reasonably requested by management
Attending training to act as Fire Marshal and/or First Aider if requested The successful candidate must possess the following; 
HR Admin experience 
Experience of using HR systems 
Have an understanding of employment law and practices
Strong administration background 
Must be highly computer literate within the MS Office Suite
Experience/knowledge of the employee lifecycle (probations, maternity/paternity, flexible working, variations to contract etc.)
Knowledge and hands on experience of using HR computerised systems/processes
 
This is a temporary opportunity which is expected to continue until March 2024. 
37.5 hours per week with the possibility of hybrid working once they have completed their training/induction schedule.
 
Must be available immediately as this role would be to start ASAP
8.30am till 5pm Mon to Friday 
 
Salary varies depending on experience
Weekly pay - Fridays
