Your opportunity

This role will focus on overseeing the smooth progression of work through the Creative Department within 368 in the most resource effective way possible, alongside management of key team operational elements including finance, supplier management and technology. Working closely with the Creative Director, Head of Marketing Operations and other team and account leads in the agency, the primary focus of the role is to oversee the appropriate resource and job allocation process to ensure all of the creative requirements of the business are delivered in the most effective way.

Your role

  • Working with Account and Business teams along with the Design and Film leads to understand potential pipeline of jobs which the Creative Department will be engaged on
  • Developing and managing an appropriate schedule of work and allocating jobs to resources across the full breadth of the creative offering based on an understanding of priorities and timelines internal clients have, combined with knowledge of the skillsets and capacities that exist within the team
  • Owning the process for all new requests into the team to ensure all relevant information is understood before a job is resourced out
  • Line managing the focus and work of those in the Creative Traffic Team, as well as overall performance, pastoral care and remuneration decisions for these individuals
  • Managing expectations (directly or via the relevant account management team) of business stakeholders and wider agency users of the department around timelines, processes and best practice associated with a successful delivery of their creative asset requirements
  • Being the main point of escalation and solution provider for any resource issues on any jobs done by the department, using the clear understanding of priorities, skillsets and capacities of the different members of team members
  • Planning, overseeing and approving any requirements for contractor or freelance support, including management of the internal processes required to source each individual
  • Planning, overseeing and approving any use of third party suppliers (mostly external but also including CoRe Creative Services) as well as any required art buying, and managing a frequently optimised PSL including overseeing the internal processes involved in onboarding and finance for these suppliers
  • Liaising with team leads for other parts of the agency to ensure optimal collaboration of cross team campaign delivery (including contributing to regular cross agency stand-ups and campaign trackers)
  • Ensuring all time is tracked accurately by all resource across the Creative Department, and monitoring reports to ensure all resource is being used optimally.
  • Creating and overseeing the adoption and use of any business support materials and lead any training necessary on processes and ways of working to ensure job and resource management is understood and optimised by all involved
  • Overseeing all finance recoveries for work completed, monitoring trajectory against plan and working with the Ops Lead to understand any shortfall and required mitigating activities
  • Monitoring and policing spend by the department and tracking against planned expenditure in the specific P&L for the team, liaising with the Ops Director and C&I Finance lead as necessary
  • Overseeing technology/IT needs and necessary solutions for the team, excluding any niche or service specific equipment (e.g. within the Film Studio). This would include being a lead user/trainer/advocate/service provider lead contact for any key job management software, liaising with the Martech Lead for the agency

Your professional experience

This role requires a minimum of 5 years background in operations, job and resource management within creative advertising/design agencies. Skills required for the role are:

  • Negotiation and conflict management to reach the right solution for how each of the hundreds of jobs worked on by the Creative Department are carried out in the most optimal way
  • Strong analytical skillset, to understand demands, translate those into a working schedule and resource plan, and track/monitor output and time use in order to make adjustments and enhancements as and when necessary
  • Understanding of a project life-cycle within a creative agency environment
  • Ability to interpret briefs and interrogate requirements to fully understand the requirements of a specific job
  • Excellent stakeholder management, comfortable to collaborate as well as challenge (where necessary) across the full grade range of potential 'internal clients’
  • Line management experience
  • Finance/recovery/budget management
  • Understanding and facilitation of relevant technology and IT support and solutions for Creative teams (excluding niche/specific equipment e.g. cameras etc)
