Berry Recruitment has registered a new opportunity that has just arisen to join our client based in the Harwell area as a Venue Executive.

Role: Venue Executive

Location: Harwell

Hours: 28 hours per week (4 days), and may suit someone who is working around a morning or afternoon school run (but would not suit school hours).

Salary: The Full Time Equivalent is around £25k, so pro rata would be £20k

Role Responsibilities:

Managing and overseeing the day-to-day activities of the Venue Administrator.
Managing all contractor relationships and ensuring that service agreements are carried out in a timely manner. Annually reviewing and negotiating contracts to provide value for money.
Proactively manage the building and its facilities to ensure that the venue is maintained to high standards of cleanliness and H&S regulations are adhered to and regularly monitored.
Ensuring that you and the venue adheres to legal and company requirements in respect of Hygiene, Health & Safety, Employment Law, Food Safety Law for all employees, visitors and customers
Develop, document, implement, communicate and maintain appropriate procedures for internal use, aligned to both the booking of meetings and office health and safety requirements
Building and maintaining successful relationships and confidence in the venue, being at hand to "meet and greet" customers on the day of the event, maximising business opportunities by
building customer loyalty through the successful delivery of events (repeat business) and by attracting and establishing new customers
Liaising with marketing to produce advertisements for local press, flyers and the website.
Proactively dealing with all sales enquiries (telephone / email) to ensure that they are dealt with in an efficient and friendly manner
Ensuring all administration and correspondence is dealt with promptly and accurately and future leads are followed up in a timely manner
Responsibility for ensuring client contracts and prepayments have been received prior to the actual event day
Maintaining and updating the customer database ensuring accuracy of the client contact details and booking data
Regularly recording member contact ensuring that the interaction and outcomes are input to the membership database (CRM) to maintain records and reference member data
Following organisational process and procedures to ensure member expectations and agreed service level agreements are met
Managing and protecting member and customer information in accordance with company policy and data protection legislation
Undertaking such other duties, commensurate with the responsibilities above, as may from time to time be required by members of the company management team

Essential Skills and Qualifications:

Experience in a facilities role with knowledge and understanding of H&S regulations related to an office/venue environment
Relationship Management: Strong relationship building and relationship management skills at all levels of an organisation
Communication: Excellent written and verbal communication skills. Exceptional telephone manner with the ability to clearly present information in an engaging and confident manner
Excellent operational and organisational skills
Strong administrative and time management skills
Proactive, self-motivated and professional
Sense of responsibility and integrity
Able to manage difficult situations
An eye for detail with the ability to multi-task, work well under pressure
The ability to work as part of a team, support colleagues and promote excellent team spirit
IT Literate with demonstrable knowledge of MS Office including Outlook
