Telephone Support AdministratorTemporary position for 2 months with the potential to become permanent.Salary - £18,000 paid on an hourly equivalent.Our client is a property conveyancing and solicitors based in the Team Valley in Gateshead. They are currently looking for a Telephone Support Administrator on a temporary basis.The purpose of this role is to provide support to the team by creating client care packs, call handling, covering reception duties, handling post and general administration duties.Key Responsibilities:" To deal professionally, and in a timely manner, with all incoming telephone calls received at your workstation." To assist with outbound calls as directed, in connection with the Residential Conveyancing department." To ensure calls are dealt with in a professional and timely manner." To accurately record messages and ensure they are recorded on the case management systems and virtual filing cabinets or via email, where appropriate." To respond to basic enquiries as per the guidance manual and also within the remit of training delivered internally." To record notes of each call and, where necessary, liaise with the responsible case handler as to any additional problematic matters." To co-ordinate the flow of information both internally and externally." To ensure clients are offered the best level of service at all times." To be responsible for diarising appointments with the fee earner, if ppropriate, in order that they can deal with any queries which fall outside of the general guidance provided." To be responsible for Welcome Calls to new clients, when the file has been opened - ensuring a warm welcome to the firm and the beginning of an excellent client journey." To ensure client care letters and appropriate forms are populated with the appropriate information and are accurately checked before being issued to clients." To assist with reception duties as and when required, including the collection of post." To assist with the daily collection of post, ready for scanning on to the Firm's paperless system (Flow Matrix)." To assist with the sorting of Royal Mail post, ensuring prescribed procedures and checks are used throughout." To assist with the opening / scanning of post on to Flow Matrix." To identify and index post, where references are not available, in order to ensure post is cross referenced to the correct file." To deliver original documents to the intended recipient / case handler." To email "All Staff" about any postal documentation that cannot be readily allocated to a file." To assist with the identification / assessment of unallocated post relating to new instructions." To regularly update records to ensure accurate information is held on file." To accurately complete all necessary paperwork relevant to the role." To accurately update and maintain all electronic systems relevant to the role." To ensure high professional standards are maintained at all times" To perform any other tasks that will assist in promoting efficiency within the office which will fall within the scope of your role within the Firm.The hours of work are between 9am - 5pm Monday to Friday.If you have the relevant skills and experience please contact Angela Sinton on (phone number removed) or email your CV to (url removed)
