Pay Scale: PS4, £19,422 (PRO RATA £17,137)

Hours: 36 per week, 40 weeks a year, Mon – Thu 8.15am - 4pm – 8.15 - 15:45 Fridays (30 minutes lunch break)


Job Purpose

  • To be the main school reception contact for all visitors to the school and promote excellent customer service practice at all times.
  • To be responsible for the provision of first aid and associated activities and record keeping for pupils and staff.
  • To be responsible for the efficient co-ordination and organisation for school lunches

Good admin and people skills essential.

DBS and First Aid experience desirable.

Key Tasks and Responsibilities

Office Duties:

  • Carrying out reception duties including answering telephone queries, greeting parents and signing in visitors. Dealing with emails and post.
  • School Meals Administration: co-ordinating school lunches, working to fixed and tight deadlines. This involves printing off lunch menus liaising with kitchen and Play Leaders; maintaining accurate records; preparing weekly and monthly reconciliations; handling payments; chasing late payments; and banking of dinner money, preparing letters to parents, reporting data onto Surrey portal
  • Photocopying and distribution as required.
  • Using Tucasi as communication tool, circulate communications to parents as directed by the office manager. Be proactive in identifying necessary communication to parents.
  • Prepare letters to parents as directed by Office Manager.
  • Organise signing in sheets for all staff and visitors
  • Assist in the Administration of After School Clubs and Early Bird Club, and lettings for those clubs
  • To assist other office staff in ensuring that deadlines are met when required
  • Ensure rooms are set up in advance of meetings
  • Receive and check deliveries and distribute as required. Maintain a tidy stock cupboard

Welfare/First Aid:

  • Provide first aid and notify parents of children who are unwell
  • Co-ordinate first aid training and maintain records
  • Liaise with staff, in particular with DSLs over any concerns relating to pupil welfare
  • Maintain a clean and orderly and stocked medical area and ensure adequate supervision of pupils at all times. Order supplies as necessary
  • Ensure all medicines are kept safe and are correctly administered, and any medicine is appropriately checked and stored
  • Be prepared to administer medicine in accordance with school policies
  • Liaise with the school nurse and other medical personnel where appropriate, including organising pupil’s health checks
  • Maintain and keep up to date all medical lists and paperwork including the reporting of accidents using the Surrey County Council Reporting Portal.
  • Prepare first aid kits for trips
  • Support SLT in First aid policies preparation
