Primary ResponsibilityUnder the general direction of the Director, UK Facilities, this role will deliver front-end support services from the facilities function and manage Adaptimmune non-GMP building needs while maintaining a high level of quality, service excellence and GMP compliance.  Scope includes:Independently plan and manage day-to-day Facilities operations related to soft building services for several Adaptimmune facilitiesDirect centralized lab inventory / store operations to provision research laboratories with needed supplies to perform laboratory experimentsDirect lab technicians in back-end support of laboratory operationsMature formal process and procedure adequate for commercial, clinical and research outcomesPartner with CMC, Quality Unit, Corporate, Clinical and Research teams to achieve company and functional objectivesLead and mentor direct reports / teamSupport facility renovation investments and other projects, as neededThis is a highly visible and hands-on role responsible for delivering soft-services support from Facilities function.Key ResponsibilitiesDelivers and executes on a vision emphasizing stellar customer service and operational consistency. Actively leads by example to promote / model customer service excellence within the Facilities department.  Maintains an ongoing dialogue and working relationship with stakeholders (e.g. CEO to scientist in the lab) to ensure facilities services are delivered on time and needs / problems are communicated, identified, and resolved.Independently plan and manage day-to-day Facilities operations related to soft building services for several Adaptimmune facilities including and not limited to space / desking / hot-desking aims, building security including audit and staff badges, lobby / front desk requirements, facility cleaning, furniture, management of wide variety of vendors, kitchens and food, pest control, office supplies, conference room / large meeting support, lease management, building safety, participation in new staff on-boarding, equipment alarm management / action, laboratory equipment calibration and maintenance, services contracts and PO management.Direct centralized lab inventory / store operations to provision research laboratories with needed supplies to perform laboratory experiments.  Develop repeatable procedures and processes to mature inventory store operations to avoid stock out, track inventory status, and minimize over-stock of supplies.   Mature function from paper based to electronic inventory approach.Direct lab support technicians in back-end support of laboratory operations including and not limited to biological waste removal and disposal, provision / delivery of lab supplies, media prep for wet experiments, ad-hoc cleaning, trash removal, etc.   Develop repeatable services for individual labs, and create metrics to manage / track end user demand.Mature formal process and procedure adequate for commercial, clinical and research outcomes.  Negotiate with stakeholders, EHS, and Facilities management in establishing what good looks like in process, procedure and service levels.  Submit and track standard operating procedures in an electronic quality document system, and follow up with reviewers to ensure timely completion.Monitor Facilities contracts to ensure adherence to contract specifications, budget and Adaptimmune standards. Work with Legal and Accounting to implement new contracts, and track contract due dates for renewal. Initiate new contracts through timely approvals for vendors, qualified supplier submissions, Legal review, and PO submission.Assist Facilities leadership team with operational budget planning, long range planning and support of facility capital projects.Lead and mentor a team of direct reports.   Ensure development plans are in place, and help staff grow.   Provide daily oversight and direction, as needed, to achieve outcomes and service levels.   Role model a hands-on leader / manager phenotype.Plan and deliver on any facility renovations to support space needs.   Align vendor support needs, scope, budget and timelines with facility management and stakeholders.Perform project management for Facilities projects. Develop schedules, track progress, and help align resources to ensure projects are completed on schedule. Develop and track Facilities Operational metrics and recommend actions to improvement metrics.Other duties as assigned to meet needs of the businessQualifications & ExperienceRequiredBachelor degree in Business, Facilities Management, Engineering or related fields.Excellent operational management experience.Strong verbal and written communication skills and interpersonal skills. Demonstrated building operations experience including oversight of security, cleaning, space planning, pest control, laboratory equipment maintenance, and centralized inventory supply management.Seasoned managerial and people management experienceBlue Mountain software or equivalent experience for lab equipment managementAmici software or equivalent experience for inventory managementDesirableRelevant experience in a pharmaceutical, biotechnology or other FDA-regulated industry Prior laboratory support experienceRelevant experience in a pharmaceutical, biotechnology or other FDA-regulated industryPrior laboratory support experienceSkills & CompentenciesRequiredDemonstrated experience in facilities management.Previous experience in a research / scientific / technology organisation.Strong team player and leaderExceptional customer service, relationship building and communication skills.Strong leadership and operational management skills with a focus on delivery, staff development and team building.Strong interpersonal, verbal and written communication skills are essential.
