Business Unit:Cubic Transportation SystemsCompany Details:Job Details:JOB SUMMARYTo provide profession and proactive administration and customer services for all administration connected to the fleet across the Company.KEY DUTIES AND RESPONSIBILITIES (May be required to perform additional duties):Responsible for the complete administration of the company fleet, including but not limited to:Administer the process of procuring new vehicles, to include: obtaining quotes, completing the AO process, ordering vehicles, adding new vehicles to records and ensuring old vehicles are returned to the leasing company in the correct mannerMaintain transport database and all necessary paper files relating to the FleetCompile monthly reports to show all Fleet costs by department and cost type. Send report to Management groupMaintain records of accidents and liaise with insurance company and company secretary as requiredOrganise and minute monthly meetings with field operations/Installation managers to review fleet and driver data; and present monthly reportProcess and code invoices associated with company fleet vehicles and rentals for sign off by the Transport ManagerBook daily rental vehicles where necessary and maintaining records for P11D processAdminister Congestion charge, Severn River crossing etc.Prepare P46 car tax returnsAssist Payroll with P11D returnsContinually review current procedures against ‘Fleet Best Practice’ with Fleet Manager at regular meetingsWork closely with the Fleet providers to ensure compliance and valueEnsure that all duties are carried out in compliance with relevant SOX proceduresAssisting with other related matters as instructed by managementComply with Cubic’s Quality Management SystemComply with Cubic Occupational Health, Safety and Environment policies and proceduresComply with security in accordance with established policies and procedures of the organisationsOther duties as requestedKEY REQUIREMENTS (Skills, knowledge, qualifications and experience)QualificationsEssential:Minimum of 5 GCSE’s including Maths & English (grade A-C) or equivalentDesirable:NVQ in Finance, accounting or administrationSkills/Experience/KnowledgeEssential:Ability to provide accurate information and understand numerical informationCompetent at using all Microsoft office tools and proficient in Excel; able to prepare and analyse reportsDesirable:Background in accounting or finance desirablePersonal QualitiesProfessional attitude with good communication skills and ability to work well within a teamGood organisational skills with the ability to manage and prioritise workloadAbility to work with all levels of the businessWorker Type:EmployeeSummaryLocation: Salfords, Surrey; Canning Town, London; Greenford, MiddlesexType: Full time
