The Hoddesdon campus, consisting of several purpose built scientific and administrative buildings together with a purpose built conference area has more than 5,000m2 of premier R&D space and houses an established Process Chemistry, Analytical Chemistry and Drug Discovery team, and a newly formed Formulation Development department. At our Hoddesdon site, the finance team is a centre of excellence and ensures efficient financial management to support all business activities.The position we are seeking to fill is for a Commercial Contracts Manager. The role will be managing our Sales Order Processing (SOP) function including entering sales orders and associated activities, managing the Hoddesdon SOP team handling end to end process from project set up through to fulfilment.We offer a competitive salary and a progressive and comprehensive suite of employee benefitsWe offer state of the art working environment in our modern Hoddesdon siteWe offer the opportunity for growth and development and will support funding for relevant training and development programmesResponsibilities:The successful candidate will have responsibilities for:Managing Hoddesdon sales order team. (30-50% of time). The team duties include:
Review contracts (Quotations, Work Orders and Purchase Orders) for completeness, compliance and accuracy.  Translate the contracts information and upload the projects into Access Focal Point (project software application) along with the associated revenue recognition and invoicing profilesRaise internal purchase order requests for multi-site projects.Update relevant contracts monitoring spreadsheets that assist with monthly revenue recognition, reporting and forecasting.Work collaboratively with the Business Unit Directors and Project Managers to ensure relevant monthly revenue recognition and invoicing activities undertaken across all projects.Assist Project Managers by providing relevant reports and analysis of information. Ensure project revenue recognition and project completion recorded and signed off accordingly for audit purposes and in agreement with operations and Finance.Raise invoices in a timely manner – at signature of contract, regular monthly invoicing, per milestones or at project completion and through review of weekly invoicing milestone report.Processing orders as above and as part of the team (50-70% of time)Specific activities/requirements:
To work closely with Business Development, the Operations Business Unit Managers and Finance in order to ensure that all projects and client services are accurately recognized for order reporting, revenue reporting and correctly invoiced and that appropriate support is provided to stakeholders.Ensure robustness and reliability of systems and processes with a minimal, but appropriate level of administration.Review contracts (Quotations, Work Orders and Purchase Orders) for completeness, compliance and accuracy. Evaluate processes and procedures to enhance the effectiveness of the business operations to support the growth in quantity and complexity of contracts.Set up and update tracking spreadsheets in Excel for multi-site / complex / long term projects and liaise on monthly basis with the Project Managers looking after such integrated projects.Work with internationally based Pharmaron project teams to ensure intercompany projects are reporting accurately.Ensure revenue recognition complies with company policy and accounting rules.Work with site Management Accountant and wider Finance team to ensure accurate recording of monthly revenue.Ensure informative reporting to senior management and other stakeholders as appropriate and as required.Demonstrate meticulous attention to detail, adherence to deadlines and ensure that all work is conducted with diligence and courtesy and assertively.QualificationFurther education qualification in areas related to the role, such as in the areas of sales order management, contracts and trade compliance (Desirable)Essential Requirements:Multiyear experience in a relevant role within a fast paced departmentExperience of ERP systems in medium sized organization upwards where activities are distributed across different functionsNumerate and comfortable with complex order and contract workingsProficient in Excel with good working knowledge of other MS Office packagesAnalytical and Problem solving skillsGood written and verbal communication skills and having the confidence to explain finance to non-finance personalExcellent organization skills, focused on execution, with strong attention to detailGood stakeholder and relationship managementDesirable RequirementsAccess Dimensions or other medium/large company ERP systemAccess Focal PointKnowledge of revenue recognition principlesWhy Should You Apply?This is an exciting opportunity for an ambitious Commerical or Sales Administrator/Supervisor to join a highly specialised growth company operating in an exciting and critical sector of the economyBuild and shape your career in an environment that sets and commits to the highest standards of excellenceTo be part of a team who support each other and put excellence at the heart of all that we doPharmaron is a premier R&D service company supporting the life sciences industry.
