About you Due to our successful business strategy and period of significant growth, we are now looking for a Business Support Administrator . The Business Support Team is responsible for: Providing support to the Operational Solutions and wider business teams, ensuring end to end administrative provision. Taking responsibility for administering governance systems to ensure that the Company is fully compliant across a range of processes, maintaining reporting systems and associated documentation. Ensuring seamless administrative support in relations to operational activities, including but not limited to unit deployment and cyclical audits. This role will involve cross functional support between the Manningtree and Gloucester offices. · Collate data from various weekly and monthly reports and/or audits, ensuring audit matrices are updated as appropriate, records are saved systematically, and reports generated as required. · Support with the preparation of units for new contract deployment. · Arrange and take the minutes and produce reports for various meetings as required and follow up any noted actions. · Prepare and carry out internal ISO audits as per schedule and complete reports. · Ensure that all faults received via the Clinical Teams/CSMs/Maintenance Engineers are logged and produce monthly reports of cause and corrective action data. · Prepare purchase and work orders, and allocate accordingly to Engineers and Suppliers, ensuring all maintenance is carried out by Suppliers and Maintenance Engineers to schedule, and providing timely updates to Clinical Staff/Clinical Service Managers as required. This includes support to Q-bital Healthcare Solutions. · Regular review of open work orders, chase outstanding paperwork and ensure WOs closed in a timely manner · Prepare, maintain and review purchasing files, reports and price lists · Review reports for completeness, raise additional remedial work orders as necessary. · Raise rolling pre-planned maintenance schedules using ‘Vision’ the internal database (training will be giving) and being confident to amend, add and implement these depending on the requirements of each service and unit. · All calibrated machines are maintained, logged and information/certificates collated and controlled both in Satellite offices and on units/live contracts. · Maintain the policy and procedure library ensuring company policies are reviewed and circulated appropriately. · Maintain incident reporting system, working with the Company Management as appropriate. · Assist in ensuring compliance to all relevant legislation and ISO standards, not limited to UK branches of the company, this will also include Q-bital branches. · Update Company intranet with relevant documents, announcements, and communications as required. · Support in all areas of business administration, collaborating with colleagues to improve and modernise processes and procedures. · Ensure stock of supplies - consumables, perishables or other are maintained and audited regularly. · Prepare portfolios for Clients · Be first point of contact for inbound calls to the office, dealing effectively and efficiently with each interaction. · Book and arrange couriers both nationally and internationally. · Comply with the Data Protection Policy and new legislation for GDPR.
