Overview
This is an EXCELLENT opportunity for someone As a member of our Staffing, Admin, Facilities and Finance Team (SAFF) the Admin Apprentice will work with and support the team in the office to undertake varied tasks and processes throughout the whole Academy, which will include aspects of receiving visitor, telephone and email messages and requests, supporting the recording of absence, accident reporting, liaison with staff regarding general maintenance and supporting the administration of small cash banking.

Role and Responsibilities
School Administration
× Providing relevant and timely reception, secretarial, organisational, and other administrative assistance to staff, as delegated by the School Leadership Group, by supporting the efficient running and functioning of the SAFF Team
× Being welcoming as a key point of contact, and ensuring that security arrangements are maintained by the proper signing in of visitors
× General admin duties including answering phone calls, email enquiries and greeting any visitors to the school
× Photocopying and preparation of documents as required
× Using school based electronic systems in order to support all areas of admin
× Providing admin support for teaching staff throughout the Academy as required
× Assisting with the administration of pupil events to ensure smooth processes
× Ensure that incoming calls are answered promptly and efficiently and for the timely delivery of messages and dealing with routine enquiries and maintain a record of all phone calls
× Respond to emails in a timely fashion
× Process incoming receipts and be maintain small cash banking process
Support to Student Welfare
× Support the Services Team, Leadership Teams and Teaching Teams with student welfare and matters of health and safety by overseeing daily registration and attendance of students
× Cross-reference any information received from emails/phone calls and what is stored on the Academy registration manager about known absences against staff input on morning attendance, and acting upon information of anyone missing from class(es) to ascertain the location of students
× Support the maintenance of Accident Reporting information and liaise with SLG re actions resulting
× Help to maintain parent communication on the Academy systems
× Collecting messages from answer-phone and emails over the course of the day, and the timely delivery and transmission of messages to the relevant staff about, for example, student absences, end of day arrangements/ student collection, transport arrangements, etc.
× Informing the appropriate Leadership and/or Teaching Team member to act on any unforeseen or difficult situations as appropriate (family, personal or any other that situation the post holder becomes aware of)
× Maintaining relationships with Parents and Students through the direct contact and being sensitive to lots of different issues and situations (e.g. split families, low-esteem, personal reasons, etc), whilst maintaining discretion and confidentiality
× Liaise with Travel Team when appropriate
Repairs and Maintenance at School
× Support the day to day logging of repairs to be carried out
× Support the liaison with Maintenance Worker jobs to be carried out including cleaning needs when required
Providing support for the Academy by
× Contributing to the overall ethos/work/aims of the Academy
× Working within a designated School Improvement Team to facilitate school improvement programmes across the Academy as described in the Academy Development Plan
× Working as part of the team in ensuring all students are collected safely at the end of the day by school transport, parents or carers
× Playing a full and flexible role in the corporate life of the Academy
× Being committed to the safeguarding and promotion of the welfare of children and young people
× Being aware of and complying with policies and procedures relating to child protection, behaviour, anti-bullying, anti-racism, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
× Setting an example to students through exemplary conduct, professional and tidy appearance, excellent time-keeping and attendance
× Work with SAFF Team colleagues to promote and maintain high standards of administrative support
× Become familiar with and practicing school policies, in particular those relating to Health and Safety, Confidentiality and Child Protection
× Be collectively responsible for a safe, healthy environment
× Attend meetings with colleagues, as required
× Participate in aspects of staff development as required
× Such other responsibilities allocated which are appropriate to the grade of the post
Required Skills
Good knowledge of Microsoft Office systems
Good keyboard skills
Excellent telephone manner
Numerate and Literate
Excellent communication and interpersonal skills: ability to communicate clearly both verbally and in writing

Required Qualifications
Maths, English and ICT, GCSE Grade 4-9 or equivalent.
Training
Business Admin level 3 apprenticeship
· Maths and English to Level 2 required, if not already achieved
· Ongoing assessment by the employer and provider – for example meetings with apprentice, employer and learning provider, observations of workplace, gathering evidence
· Knowledge, Skills and Behaviour in relation to: customer service principles and practices, planning, regulation, responsibility and IT, business principles, customer communication and health and safety.
Undertake a self-assessment in the last month of their apprenticeship to enable them to see whether they are confident that they have taken on board all aspects of the occupation. This self-assessment must be submitted to the independent end point assessor as a source of evidence to prepare for independent End Point Assessment which will include multiple choice assessment; showcase portfolio of learning and interview; presentation of a project
