Administrative Assistant
The first point of contact for incoming callers and visitors, offering administrative support across the organisation, welcoming guests and greeting people who visit the business distributing correspondence and redirecting phone calls.
Main organisational relations
This position has main relations with:
Subsidiary: UK Managing Director, Support Team and External Sales Team
Main responsibilities and actions
Greet and welcome guests at the office
Answer, screen and forward incoming phone calls, take messages, provide customers with guidance on technical support process
Maintain office security by following safety procedures and controlling access (monitor logbook, issue visitor badges)
Order office supplies and keep inventory of stock
Update calendars and schedule meetings
Arrange travel and accommodations
Perform other office administrative duties
Responsible for compliance with Company and Legislative health&safety and risk management procedures pertaining to role
Achieving the Quality Standards and KPI targets to ensure continual development
In addition to the main responsibilities and actions and in the interests of teamwork and organisational flexibility it is expected that you will, when a reasonable request is made, assist with any ancillary tasks as directed by your Line Manager.
Proven work experience within a customer service sector and in a similar role
Customer focused
Solid written and verbal communication skills
Confident professional approach in dealing with customers
Excellent telephone manner
Professional attitude and appearance
Ability to be resourceful and proactive when issues arise
Excellent organisational skills
Multitasking and time-management skills, with the ability to prioritise tasks
Motivated to achieve targets and deadlines
Attention to detail
Talent for recognising opportunities for process improvement
Familiar with Google and Microsoft Applications
Hands-on experience with office equipment
