Practice Manager - Solicitors Firm London WC1
Please this is an office based role 5 days a week - no WFH.
Our requirement is for a pro-active, conscientious and reliable Office Manager with experience of and a good understanding of a small-to-medium size solicitors’ firm’s operational procedures. The candidate should have strong people management and development skills.The role will involve the following functions:
Supervising the office administrator and generally overseeing and taking responsibility for the day to day management of the office.
Negotiating and maintaining supplier contracts and reporting to partners in connection with these
Overseeing provision and return of all office equipment and maintaining internal equipment and asset registers
Responsible for all matters relating to Health and Safety and fire safety including arranging periodic training, equipment testing and maintaining all necessary records
Enabling office efficiencies and maintaining office procedures in conjunction with the partners
Supporting the Risk and Compliance partners in ensuring regulatory compliance within the office, including annual practising certificate renewal
Supporting the Risk and Compliance partners with Lexcel
Supporting the partners with insurance renewals
Supporting the designated partner with annual renewal of Conveyancing Quality Scheme
Applying for, maintaining and renewing memberships of various lender panels and online "lenderexchange" portals, supporting the designated partner
Acting with the firm’s accounts manager&supporting designated partner as online portal administrators for the firm’s bank accounts, and as main bank points of contact
Overseeing and implementing joiner and leaver processes including:
Liaising with IT and other managed service providers to arrange provision and closure of user accounts and access devices
Allocating and provision of office desk space and IT and communications equipment, including desk setup.
Arranging and overseeing the induction and training process for new employees
Generally overseeing the recruitment process including:
preparation of job specifications and liaising with external recruiters with regard to vacancies and
Reviewing all job applications and selecting those for referral to partners;
Under the supervision of the Employment Partner - sending out job offers and contracts
Liaising with prospective employees prior to commencement to deal with their queries and pre-starter admin including DBS check;
Maintaining sickness records
Dealing with holiday requests and maintenance of holiday records
Together with the office administrator
ensuring that the office remains tidy, organised and fit for purpose
overseeing remote storage, recycling and waste
ensuring meeting rooms set up for meetings, seminars and training
Acting as the first point of contact for repairs, maintenance, the alarm company and landlord
Facilitating CPD and training events in conjunction with the training partner and assisting fee earners with maintenance of CPD records.
Assisting with the implementation of policies, procedures and modernisation programs from time to time at the direction of the partners.
Liaising with fee earners to ensure that supervisory reviews are up to date and monitoring the same.
Immediate interviews including TEAMS/ZOOM as appropriate.
