Document Services Operator – Morning Permanent | London | Hybrid
Owen Reed is looking for an experienced Document Services Operator to join the Document Services team at a top law firm in London.
This is an excellent opportunity for a skilled legal document production professional with advanced Microsoft Office expertise, exceptional attention to detail and the ability to deliver high-quality work within demanding deadlines.
Working Pattern - Thursday to Monday
- 6:00 a.m. to 2:00 p.m.
- Hybrid working
- Thursday and Friday are office-based
- Flexibility to work overtime when required
The Role As a Document Services Operator, you will provide high-quality document production and technical support to lawyers and business services teams across the firm.
You will produce, amend and format a wide range of complex legal and business documents, ensuring that all work is completed accurately, efficiently and in line with the firm’s house style.
Key Responsibilities - Produce, revise and format complex legal and business documents.
- Compare documents and check cross-references and defined terms.
- Convert documents into Word, Excel, PowerPoint and Visio formats.
- Create and update tables of contents, tables of authorities and other automated document features.
- Create and run mail merges.
- Amend, compile and redact PDF documents.
- Create PDF forms, bookmarks and electronic closing binders.
- Create and reformat PowerPoint presentations in line with firm branding.
- Produce organisational charts, flowcharts and timelines using Visio and PowerPoint.
- Format Excel spreadsheets, prepare files for printing and use basic formulas and charts.
- Proofread and quality-check completed work to ensure accuracy and consistency.
- Provide technical assistance and software troubleshooting support to internal clients.
- Interpret detailed instructions and clarify requirements where necessary.
- Manage multiple assignments and provide regular progress updates.
- Maintain confidentiality across all documents and information handled.
- Deliver a responsive, professional and client-focused service.
About You We are looking for an experienced legal document production professional who takes pride in producing work of the highest standard.
The successful candidate will ideally have:
- Previous word processing or document production experience within a law firm or financial services organisation.
- Advanced Microsoft Word skills, including experience formatting complex legal documents.
- Advanced knowledge of Excel, PowerPoint, Visio and Outlook.
- Strong experience using Adobe Acrobat, OmniPage and Nuance Power PDF.
- Experience using legal document tools such as Litera Compare and DocXtools.
- Excellent proofreading skills and exceptional attention to detail.
- Strong written and verbal communication skills.
- The ability to interpret complex instructions and manage competing priorities.
- A proactive, flexible and collaborative approach.
- The ability to remain calm and professional while working to tight deadlines.
- A strong commitment to providing exceptional internal client service.
- Availability to work Thursday to Monday from 6:00 a.m. to 2:00 p.m.
- The ability to work from the London office every Thursday and Friday.
A college degree or business qualification is preferred, although equivalent relevant experience will be considered.
