Job Description

Finance Assistant | Global Fashion & Media Group | London (Hybrid)

Harmonic are delighted to be partnering with one of the world's leading talent and artist management groups as they build out the finance team supporting their London business.

The Client

Our client is a globally recognised talent and artist management business, part of one of the largest representation groups in the world, with a portfolio spanning entertainment, sport, fashion and media. They represent the creative talent behind some of the most recognisable fashion, beauty and editorial work produced anywhere, with offices across the UK, Europe and the US.

The group has recently entered a new chapter under private ownership, backed by a major international investor, and the London business is investing in its finance function as part of that. This is a well-known name with serious scale behind it, and a business where finance sits close to the commercial action rather than at a distance from it.

The Role

The London transactional finance team is being built out with clearer ownership and better process, and this role sits right at the centre of it. You will run the day to day AP cycle across the group's fashion businesses, own talent and vendor onboarding, and take a lead on billing and customer payments, working alongside the group's outsourced finance provider and central treasury team. There is genuine scope here to shape how the team works rather than inherit a fixed structure.

It is also a visible role. Finance is deliberately being moved closer to the commercial business, so you will be speaking directly to talent, managers, customers and business leads every day rather than working away quietly on a ledger. The level flexes with experience, and at the upper end of the band the role carries day to day oversight of a Biller and AP support. This is a transactional role at heart, best suited to someone who wants to build real depth across AP and billing rather than move towards management accounts.

Responsibilities

  • Ownership of the end to end accounts payable process across the group's fashion businesses
  • Onboard new talent and vendors, including verification, payment details and tax documentation
  • Prepare fortnightly talent statements, ensuring expenses are accurately allocated
  • Resolve statement, expense and payment queries directly with artists and their managers
  • Coordinate payment runs and submit to the group treasury team to deadline
  • Raise customer invoices accurately and on time, obtaining PO numbers and meeting customer-specific billing requirements
  • Manage portal registrations and regular invoice uploads across customer payment portals
  • Chase outstanding customer payments and resolve billing queries
  • Review billing for correct VAT treatment and raise credit notes and billing adjustments
  • Work with the group's outsourced finance provider and the wider divisional finance team to improve process as the team builds

What our client needs to see (required):

  • 2-4 years' experience in a high-volume transactional finance role covering AP, billing, or both
  • Experience owning payment runs
  • Strong with Microsoft Excel
  • Excellent written and verbal communicator, comfortable dealing directly with people outside finance
  • Able to work without close supervision and prioritise across competing deadlines

Desirable criteria:

  • AAT studying or qualified
  • SAP experience
  • Exposure to customer invoicing portals such as Coupa, Ariba or Tungsten
  • Experience checking or coordinating the work of others
  • Background in talent management, fashion, beauty, media, entertainment or a creative agency
  • Exposure to VAT queries across multiple entities

Salary: £30,000 - £36,000 + bonus + study support Location: London (Hybrid, three days in the office) Start date: ASAP
