Family Services Administrator

VNA Recruitment is currently recruiting for an experienced Family Services Administrator to join a busy family support service within a large organisation in South London.

This is an excellent opportunity for an organised, approachable and customer-focused administrator who enjoys working with families, professionals and community services.

You will provide essential administrative and information support to the service, acting as a key point of contact for families and professionals while helping ensure enquiries, appointments, records and service information are managed accurately and efficiently.

The role would particularly suit someone with previous experience within children’s services, family support, education, health, social care or another busy public-facing environment.

There is also potential for the contract to be extended or for the position to become permanent.

The Role

As a Family Services Administrator, your responsibilities will include:

  • Providing day-to-day administrative support to a busy family-focused service
  • Acting as a first point of contact for families, professionals and partner organisations
  • Responding to telephone, email and face-to-face enquiries
  • Providing accurate information and guidance about available services
  • Supporting families to access appropriate local services and support
  • Maintaining accurate and up-to-date records
  • Updating internal systems, databases and service information
  • Arranging appointments, activities and service bookings
  • Coordinating diaries, meetings and administrative arrangements
  • Supporting the planning and coordination of community-based activities and services
  • Providing administrative support to colleagues across the wider team
  • Liaising with professional partners and external organisations
  • Processing and managing sensitive documentation appropriately
  • Handling confidential and personal information in line with relevant procedures
  • Ensuring enquiries are dealt with promptly and professionally
  • Maintaining high standards of customer service
  • Supporting general office and service administration as required
About You

To be considered for this position, you should have:

  • Strong previous administration experience
  • Excellent customer service and communication skills
  • Confidence communicating with families and professional partners
  • Experience working in a busy administrative or customer-facing environment
  • Strong organisational and time-management skills
  • Excellent attention to detail
  • Experience maintaining accurate records and information
  • Ability to handle sensitive and confidential information appropriately
  • Good written and verbal communication skills
  • Strong IT skills
  • Confident use of Microsoft Office, including Word, Outlook and Excel
  • Ability to prioritise a busy workload effectively
  • Ability to manage competing demands and deadlines
  • A professional, approachable and helpful manner
  • Ability to work effectively both independently and as part of a wider team
