A growing financial services business is seeking an organised, proactive and professional Office Administrator/Personal Assistant to support its expanding UK team.

This is a varied role that combines office management, executive support and finance administration, offering the opportunity to become a key part of a collaborative and ambitious business.

The successful candidate will play an integral role in ensuring the smooth day-to-day operation of the office while supporting senior stakeholders and the wider team.

The position is currently offered on a part-time basis with flexible half-day hours.

Key Responsibilities

  • Provide administrative and executive support to senior team members, including diary management, meeting coordination, travel arrangements and general business administration.
  • Ensure the smooth day-to-day running of the office, maintaining records, filing systems and company documentation.
  • Coordinate meetings and appointments, including scheduling, calendar management, preparing meeting materials and organising meeting facilities.
  • Act as a central point of contact for administrative queries and support the wider team with day-to-day operational requirements.
  • Prepare business correspondence, reports, presentations and other documentation as required.
  • Manage electronic and physical document management systems, ensuring records are organised, accurate and handled confidentially.
  • Assist with invoice processing, supplier administration, expense tracking and the maintenance of financial records.
  • Support bookkeeping and finance administration tasks, including data entry, payment schedules and month-end activities.
  • Liaise with external accountants and provide supporting documentation for reporting, audit and compliance purposes.
  • Arrange courier collections and deliveries, monitor shipments and ensure important documents are dispatched and received in a timely manner.
  • Manage office supplies and coordinate purchasing to ensure the office remains fully operational.
  • Support the continuous improvement of office processes and contribute to an efficient and professional working environment.

Skills & Experience

  • Previous experience in an Office Manager, Executive Assistant, Personal Assistant or Administrative Support role (ideally within financial services).
  • Strong organisational and time management skills with the ability to prioritise effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel and Teams.
  • High level of accuracy, attention to detail and discretion.
  • Experience supporting finance administration, bookkeeping or accounts-related processes.
  • Comfortable using modern technologies and AI-powered workplace tools.
  • Ability to work independently while also collaborating effectively with colleagues.
  • Professional, personable and adaptable approach.

Requirements

  • Minimum of 4-5 years of experience in a similar administrative, office management or executive support role (ideally within financial services).
  • Experience managing diaries, coordinating meetings and maintaining document management systems.
  • Familiarity with accounting software or financial administration processes would be advantageous.
  • Previous experience within financial services, professional services or a corporate environment is desirable.
