Job Description

Owen Reed is looking for a professional, proactive and highly organised Client Services Administrator to join a top law firm in London.

The Client Services Administrator’s main role will be:

  • Handling all incoming external telephone enquiries in a professional manner, acting as a filter to manage and control calls
  • Transferring calls and directing enquiries
  • Noting down accurate messages and passing these on in a timely manner
  • Inputting accurate and confidential data as part of the enquiry process
  • Booking any necessary meetings or making other follow up arrangements in relation to enquiries
  • Monitoring the Info inbox and responding or forwarding to others, where necessary
  • Representing the firm in a professional, courteous and polite manner at all times when interacting with clients or other external callers

There may be some occasions where the Client Services Administrator will be asked to provide support with front-of-house duties, usually when the Receptionist is on leave. Those duties may include:

  • Meeting and greeting of clients and visitors
  • Keeping all areas of the office clean and tidy and in particular the Reception area and meeting rooms which must be set up in advance and cleared away immediately after each meeting
  • Photocopying and scanning of documents and correspondence
  • Arranging travel and/or couriers for the team as required
  • Dealing with incoming and outgoing post to include scanning and saving documents to the document management system, internal distribution, franking post as well as collection/delivery to/from the Post Office as required
  • Delivering locally any letters or parcels
  • Desk management for visiting employees
