Float Executive Assistant
Location – City of London walking distance from Bank/Liverpool Street 4 days in the office, 1 from home
Temp to Perm£58,000 A leading investment bank requires an experienced Executive Assistant to provide a fast and efficient service as a Float, covering other Assistants absences.
The successful candidate will work remotely for one day per week, with the other four days in the office.
Key Responsibilities - Act as a key point of contact for internal stakeholders and external clients, building strong professional relationships across teams and regions
- Provide comprehensive administrative and secretarial support in a demanding, deadline-driven environment
- Full ownership of complex and constantly changing diaries
- Act as gatekeeper, proactively managing conflicts and prioritisation
- Arrange internal and external meetings, video conferences and calls, including logistics and dial-in details
- Coordinate end-to-end travel arrangements (flights, hotels, visas, ground transport, currency) using firm-wide systems
- Prepare itineraries and agendas in advance
- Process monthly expenses efficiently and in line with policy, including corporate card, invoices and out-of-pocket claims via Concur
- Maintain and update the internal CRM system
- Support event organisation (client closings, team and social events)
- Handle ad hoc administrative tasks and project support as required
- Provide phone and administrative cover for Bankers outside the designated team
- Collaborate with the buddy group to ensure consistent Assistant coverage during absences
- Maintain clear and up-to-date handover notes
Skills & Experience - Previous experience in a similar role within financial services is essential (ideally investment banking)
- Calm under pressure with the ability to manage last-minute changes
- Highly organised with strong attention to detail and prioritisation skills
- Proactive, flexible, and a strong team player
- Excellent written and verbal communication skills
- Discreet, with the ability to handle confidential information
- Strong MS Outlook and Microsoft Office skills
- Experience with online travel booking tools, CRM systems and Zoom
- Prior experience within Investment Banking (Corporate Finance / M&A) preferred
