Role purpose


The Operations Assistant plays a key role in supporting the day-to-day operational

activities of the umbrella company, ensuring contractors are onboarded efficiently,

paid accurately and on time, and that all processes are compliant with current

legislation.

The role exists to provide administrative and operational support across contractor

onboarding, payroll preparation, compliance checks, and client/agency liaison,

helping to deliver a smooth, reliable, and professional service to contractors,

recruitment agencies, end clients and internal teams.

By maintaining accurate records, responding promptly to queries, and following

established processes, the Operations Assistant helps ensure the business operates

efficiently, compliantly, and to a high standard of customer service.

The ideal candidate will be highly organised, detail-oriented, and comfortable

working in a fast-paced operational environment. They will have strong

communication skills, a proactive approach to problem-solving, and the ability to

manage multiple tasks while maintaining accuracy and compliance.

A customer-focused mindset, confidence using internal systems, and a willingness to

learn umbrella company processes and legislation are essential, along with the ability

to work effectively as part of a team.


Main Areas of Responsibility.


Process &

Operational

Support

Support the Focused Operations Manager with the day-to-day running of

the business

Follow established operational procedures and checklists to ensure

consistency and compliance

Support wider operational projects, audits, or peak-period workloads as

required.

Payroll &

payment

support

Assist with payroll preparation, including timesheet and expense processing

and data validation

Liaise with various internal/external stakeholders to ensure contractors are

paid accurately and on time

Respond to basic contractor pay queries and escalate discrepancies where

required.

Contractor

Onboarding &

Compliance

Support the end-to-end onboarding of contractors, ensuring all required

documentation is collected, checked, and recorded accurately

Carry out right-to-work checks, identify verification, and compliance

screening in line with HMNRC and company policies

Ensure contracts are issued, signed, and stored correctly within agreed

timescales.

Agency &

Contractor

Liaison

When required, act as a first point of contact for contractor and agency

queries via phone and email

Provide clear, professional updated onboarding progress, payroll timeliness,

and documentation requirements

Build positive working relationships with agencies and contractors to

support new relationships, retention and service levels.

Data &

Systems

Administration

Maintain accurate and up-to-date records across CRM, Illustrations, Dream

and any other provided systems

Ensure data is handled in line with GDPR and internal data protection

policies.

Customer

Service &

Quality

Deliver a high standard of customer service, ensuring queries are handled

promptly and professionally

Ensure service level agreements (SLAs) are met across the operational

team

Contribute to maintaining a positive contractor and agency experience

throughout their engagement.

Cross-

Departmental

Support

Work collaboratively with all departments to support operational and

business objectives

Respond flexibly to business priorities, supporting teams as and when

required

Promote a contractor-focused, solutions-driven approach across the

business
