Conveyancing Legal Secretary
Owen Reed is looking for a Conveyancing Legal Secretary for a top law firm in London.
This is an excellent opportunity for an experienced Conveyancing Legal Secretary to support a busy fee earner and play a key role in the smooth delivery of conveyancing services. The Conveyancing Legal Secretary will help maximise fee-earning time by providing high-quality secretarial and administrative support in a client-facing environment.
The role requires a confident communicator who can deal with clients sensitively and discreetly, while working proactively with colleagues across the firm.
The Role As a Conveyancing Legal Secretary, your principal responsibility will be to support the fee earner you report to, assisting with the day-to-day management of their workload and ensuring files are progressed efficiently and accurately.
Key Responsibilities - Audio typing and preparation of correspondence including letters, emails and documents
- Opening and closing files, including completion of Anti-Money Laundering (AML) checks
- Drafting legal documents from audio dictation
- Managing photocopying, printing, scanning and arranging couriers
- Handling internal and external telephone calls, ensuring messages are passed on promptly
- Monitoring post and emails and responding appropriately
- Dealing with basic client queries and general administration
- Preparing bills and assisting with the billing process in liaison with fee earners and accounts
- Requesting cheques and bank transfers and processing monies received
- Providing reception cover as required
- Preparing and submitting SDLT, AP1 and FR1 applications via the Land Registry online portal
- Using conveyancing panel portals including LMS and Lender Exchange
- Ensuring applications are submitted within the OS1 priority period
- Responding to Land Registry requisitions prior to cancellation
About You - Previous experience as a Conveyancing Legal Secretary
- Strong audio typing and document preparation skills
- Confident, professional and client-focused communication style
- Excellent attention to detail and organisational skills
- Ability to manage competing priorities in a busy environment
- Proactive, reliable and able to work both independently and as part of a team
- Discreet and professional when handling confidential information
