Lettings Administrator

Northampton

£24,000

Monday – Friday 9am – 17:30pm

Are you an organised multitasker with a passion for property and people? We’re looking for a proactive Lettings Administrator to join our reputable client in Northampton. 

You’ll be the backbone of the team—managing paperwork, coordinating viewings, supporting landlords and tenants, and ensuring every detail is handled with care. If you thrive in a fast-paced environment and take pride in delivering exceptional service, we want to hear from you.

Key Responsibilities:

  • Conduct OFSI checks on all existing tenants to ensure compliance with financial sanctions and company policies.
  • Maintain and manage the key register, ensuring all keys are accurately logged, securely stored, and tracked in line with office procedures.
  • Oversee utilities administration, including setting up and closing accounts, meter readings, and ensuring smooth transitions between tenancies.
  • Arrange and coordinate regular property visits, preparing inspection reports and liaising with landlords and tenants on any required actions.
  • Manage tenancy renewals, preparing documentation and ensuring timely completion.
  • Prepare and issue tenant notices in accordance with legal requirements and company policy.
  • Monitor and track safety certificates, ensuring all properties remain compliant at all times.
  • Handle variations of tenancy agreements, such as tenant swaps or contract amendments, ensuring accurate paperwork and system updates.
  • Process supplier and contractor invoices, verifying details, obtaining approvals, and submitting them for payment.


 The Ideal Candidate:

  • Excellent administrative and organisational skills with strong attention to detail.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and able to adapt quickly to new software.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Basic knowledge of current lettings legislation and compliance requirements (Right to Rent, deposit protection, safety certificates, etc) – highly desirable.
  • Professional and customer-focused approach
  • Reliable, proactive, and able to work independently and as part of a team.
  • High level of integrity and confidentiality when handling sensitive information.
