You’ll work directly with the firm’s Director, supporting him as his right hand and ensuring clients receive a first-class service at every stage of their financial planning journey. The Opportunity
You’ll be the operational backbone of the business — managing all aspects of client administration, liaising with providers, and keeping everything running seamlessly behind the scenes. This role suits someone confident, proactive, and personable — an administrator who enjoys improving systems, taking initiative, and ensuring the adviser can focus fully on clients.
Key Responsibilities
• Manage day-to-day client administration and ensure cases progress efficiently and accurately.
• Liaise directly with clients — by phone and email — to handle queries, gather information, and provide updates.
• Prepare and process key documentation, including applications, letters of authority, review packs, and valuations.
• Communicate with investment platforms, product providers, and third parties to obtain information and complete transactions.
• Maintain accurate client records and ensure compliance with FCA requirements.
• Prepare meeting packs and provide pre- and post-meeting support to the Director.
• Suggest and implement process improvements to drive efficiency across the business.
• Provide general operational support, including correspondence, diary management, and invoicing.
About You
You’ll have a solid background in IFA or wealth management administration and a strong understanding of financial planning processes, products, and compliance requirements. You’ll also bring:
• Excellent communication and relationship-building skills.
• A meticulous, organised approach and strong attention to detail.
• Confidence to take initiative and work autonomously.
• Proficiency in Microsoft Office; experience with financial planning software is a plus.
• (Desirable) Progress towards professional qualifications such as CII or CISI.
